Brookhaven Adds Web System for Bid Notices and Requests

The Town of Brookhaven recently implemented a web-based system to make it easier to access town bid notices and Requests for Proposals (RFPs).

“We are bringing Brookhaven Town government into the 21st century," said Supervisor Mark Lesko. "Now that bid documents and RFP’s will be available on the web, the process will be more business-friendly, transparent, and more convenient for potential bidders. It will also save both the Town and potential bidders time and expenses." 

Prior to this year, the Town’s Purchasing Division required anyone whose business was located within Suffolk County and wanted to respond to a bid or RFP to pick up the documents at Town Hall. Any potential bidders located outside of the county were mailed the packages upon request.

Bid and RFP’s are now available on the Town website, www.brookhaven.org. Any potential bidder or respondent will be required to submit a secure web form and will receive the documents via e-mail. The new web-based system also allows the Town to track any business that accesses the bid or RFP through the secure web form. The Town hopes that this new process will also increase its ability to reach a wider universe of vendors. 

Since implementing the new online system, the number of vendors coming to Town Hall to pick up bid and RFP packages has been drastically reduced, saving the Town the expense of printing both bid and RFP packages.  Additionally, the number of bid and RFP packages being mailed out has seen a significant reduction, which has also saved the Town on postage expenses.

Since implementing this new online system, the Purchasing Division has been able to automate much of their day-to-day operations. Previously, they would manually enter each vendor's contact information into a separate file for every bid/RFP. They would then need to print this information on address labels to send the bid/RFP to the vendors. Now, vendors type in their own contact information online and download the bid/RFP package electronically.
